1. Information we collect
We collect information you provide when creating and using an account, including your name, company name, email address, authentication details, and account preferences.
When contractors create change orders, we process the records they enter or upload. These may include project and job-site details, client names and contact information, descriptions of work, photos, voice or text notes, pricing, signatures, approval status, timestamps, and audit history.
We also receive technical data such as browser type, device information, IP address, access times, pages used, diagnostic events, and security logs.
2. Contractor and client records
Contractors control the client and project records they submit. Charles Meechan processes those records to provide ScopeGuard Pro on the contractor’s behalf. Contractors are responsible for having an appropriate legal basis and giving any notices required before submitting client information, photos, recordings, or signatures.
We do not sell contractor or client personal information. We do not use client records for unrelated advertising.
3. How we use information
- Provide, maintain, secure, and improve ScopeGuard Pro.
- Create, send, display, approve, and preserve change-order records.
- Authenticate users, prevent abuse, troubleshoot issues, and provide support.
- Process subscriptions and maintain billing and transaction records.
- Comply with legal obligations and enforce our agreements.
4. Payments
Subscription payments are processed by Stripe. Charles Meechan does not store complete payment-card numbers. Stripe receives payment, billing, and transaction information under its own privacy terms. We receive limited information such as customer and subscription identifiers, payment status, plan, and billing period.
5. Cookies and similar technologies
ScopeGuard Pro uses essential cookies and local storage to keep users signed in, protect accounts, remember necessary settings, and operate checkout. Our service providers may set strictly necessary cookies for authentication, security, fraud prevention, and payment processing. We do not currently use third-party advertising cookies.
Blocking essential cookies may prevent sign-in, checkout, or other parts of the service from working.
6. When information is shared
We share information only as needed with vendors that host data, process payments, deliver authentication, support service operations, or help us detect fraud and security threats. We may also disclose information when required by law, to protect rights and safety, or as part of a merger, financing, acquisition, or sale of assets. Vendors are permitted to process information only for the services they provide to us.
7. Data protection and retention
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No storage or transmission system is completely secure, so we cannot guarantee absolute security.
We retain account, contractor, and client records while an account is active and as reasonably necessary to provide the service, meet legal and tax obligations, resolve disputes, prevent fraud, and enforce agreements. Backup copies may remain for a limited period after deletion.
8. Your choices and rights
You may request access to, correction of, export of, or deletion of personal information by contacting us. We may need to verify your identity and may retain records where legally required. Contractors should direct requests concerning records they control to Charles Meechan; clients may also need to contact the contractor that collected their information.
9. Children and international use
ScopeGuard Pro is a business service and is not intended for children under 18. We do not knowingly collect personal information from children. Information may be processed in the United States and other locations where our service providers operate, subject to appropriate protections.
10. Changes and contact
We may update this policy and will post the revised effective date here. Material changes may also be communicated through the service or by email.
